Geophysical Institute Key Policy


Effective date: 1/1/09

  1. KEY ISSUE HOURS: Keys for the Geophysical Institute and GI Field Sites are issued by the Operations Office (Elvey building, room 615) from 9:00-11:30 AM, Monday through Friday or by special arrangement.

  2. BUILDING HOURS: The Elvey building is open from 7:30 AM – 5:30 PM, Monday through Friday. It is locked at all other times, including holidays and weekends. To strengthen building security, keys are issued to those persons who regularly need access to the building during non-working hours to perform work duties. Keys are not automatically issued to all employees.

  3. AUTHORIZATION: Written authorization is required by:

    a) Regular GI faculty, staff and graduate students (from supervisor)
    b) GI undergraduate students (from supervisor)
    c) Temporary GI employees (from supervisor)
    d) Non-GI faculty and staff (from appropriate GI affiliate and Operations Office)
    e) Non-GI graduate or undergraduate students (from appropriate GI affiliate and Operations Office)
    f) Retirees who do not have an office in the Elvey building (from GI director and Operations Office)
    g) All non-university persons (from appropriate GI affiliate and Operations Office)

    Authorization for Elvey building access is provided to persons for official use only if they cannot conduct their business during normal working hours. Forms are available in the Operations Office or click here for authorization form.

  4. DEPOSITS: A refundable $20-per-key deposit is required for all keys issued to:

    a) GI temporary employees
    b) All undergraduate students
    c) Non-GI graduate students
    d) Non-GI staff (both temporary & permanent)
    e) All non-university persons

    The deposit can be made by cash or check to the GI Business Office. The deposit is retained if the keys are not returned.

  5. LOST KEY: A $20-per-key fee is required from all persons (temporary, permanent, faculty, staff, visitors) for each lost key. Replacement keys will not be reissued until this fee has been paid.

  6. RESPONSIBILITY: All key issuance must be performed and recorded by the Operations Office. Keys must never be loaned or transferred from one person to another. In all cases, the person receiving the key from the Operations Office is (and remains) the responsible party. If a key is lost after having been loaned or transferred to another person without going through the Operations Office, the person who originally signed out the key will be responsible to pay the lost key fee.

  7. TIME LIMITATION: A one-year time limit is placed on all keys issued to non-GI persons. Persons needing a key longer than one year must renew the authorization for issuance at the Operations Office.

  8. MASTER AND SUB-MASTER KEYS: Master and sub-master keys are issued on a case-by-case basis only and require justification of need. Refer to Letter of Instruction dated January 5, 2007.
